How to create a payslip online

Four steps from a blank slip to a signed-off PDF. The preview updates as you type, so you can see the result before you commit to anything.

  1. Add your company

    On the Company tab enter your business name, address and contact details, and upload a logo. These are remembered, so you only do this once.

  2. Enter the employee

    On the Employee tab add the name and employee ID (both required), plus department, designation and bank details. Only the last four digits of the account are printed.

  3. Set the pay

    On the Payroll tab choose the pay period, paid days and currency, then list earnings and deductions. Gross, total deductions and net pay calculate as you type, and net pay is written out in words.

  4. Download the PDF

    Click Download PDF, pick “Save as PDF”, set A4 and turn margins off. Press Save / Update first to reuse the employee next month.

What is a payslip?

A payslip — also called a salary slip, pay stub or pay advice — is the statement an employer gives an employee each pay period. It breaks down what was earned, what was deducted and what was actually paid into the bank, and it is the document employees are asked for when applying for a loan, a rental, a credit card or a visa. Keeping payslips consistent and complete is the simplest way to avoid payroll disputes later.

Many countries require employers to issue one. In Singapore, employers must give employees covered by the Employment Act an itemised payslip; India, Malaysia, the UK and Australia have their own requirements. Check the rules that apply to you — the list below covers what most itemised payslips are expected to show.

What a payslip should include

  • Employer and employee identity — company name and address, employee name and employee ID or number
  • The pay period and pay date — the month or cycle the payment covers, and the date it was paid
  • Basic pay — the fixed salary for the period, plus days paid and any unpaid leave
  • Allowances and additional payments — transport, housing, meal or shift allowances, overtime, commission and bonuses, listed separately
  • Deductions — each one itemised: pension or provident fund contributions such as CPF or PF, income tax or TDS, insurance, and any loan or advance recovery
  • Gross pay, total deductions and net pay — so the arithmetic is visible rather than assumed
  • Payment method — bank transfer, cheque or cash, and the account it went to (last four digits only is safer)

The generator above produces all of these. Earnings and deductions are free-form rows, so the same layout works whether your payroll uses CPF and transport allowance, or HRA, provident fund and professional tax.

Payslip generator vs. payroll software

Payroll software calculates statutory contributions, files returns and tracks leave — and charges a monthly fee per employee for it. This tool does one job: it turns figures you already have into a clean, professional payslip document. It does not compute CPF, income tax, PF or any other statutory amount, so you enter those from your own calculation or your accountant's figures. If your payroll is straightforward and you just need the paperwork to look right, that difference is the whole point.
