How to create a rent receipt

A month of rent receipts takes about a minute once the first one is set up.

  1. Enter the tenant and property

    On the Details tab add the receipt number, the date, the tenant's name, the property address and the rental period the payment covers. The period is what makes it a rent receipt rather than a note.

  2. Enter the amounts

    On the Amounts tab enter the rent, and separately any maintenance, utilities or other charges. Lines left at zero are dropped from the receipt automatically. Choose the payment method and add a reference.

  3. Add the landlord's details

    On the Landlord tab enter the name, address and, if the tenant needs it, a tax ID. Indian tenants claiming HRA generally need the landlord's PAN once annual rent passes a threshold.

  4. Download, then roll forward

    Click Download PDF, then hit Next Month — the receipt number and the rental period advance by one month, ready for the next payment.

A security deposit is held, not earned. Tick the deposit option so it prints as an amount held rather than rent received for the period.

What a rent receipt should show

A rent receipt is the landlord's written acknowledgement that rent has been paid. Tenants need it to prove payment, to claim tax relief where their country allows it, and as evidence in a deposit dispute. Landlords need it as a record of rental income.

  • A receipt number and the date issued
  • The tenant's name — the person who actually paid
  • The property address, specific enough to identify the unit or room
  • The rental period covered, not just the payment date
  • The amount, in figures and words, with charges itemised if rent is not the only thing paid
  • How it was paid — cash, bank transfer, PayNow, UPI or cheque, plus a reference
  • The landlord's name and signature, and tax ID where the tenant needs it

Cash rent is where receipts matter most

With a bank transfer both sides have a record. With cash the receipt is the only evidence that exists, which is exactly the situation that later produces disputes. Issue one every time, keep a copy, and number them sequentially so a missing month is obvious.

Rent receipts and tax relief

Several countries let tenants claim rent against tax, and rent receipts are the standard evidence. In India, employees claiming House Rent Allowance are generally asked for receipts, and for the landlord's PAN once annual rent exceeds a threshold set by the tax authority — which is why the tax ID field is here. Rules and thresholds change, so tenants should check the current requirement rather than rely on this page.

Deposits are not rent

A security deposit is held, not earned, and should not be lumped into the rent figure. Tick the deposit option to show it as an amount held rather than an amount received for the period — it keeps the accounting honest and avoids an argument at the end of the tenancy.
