How to create an invoice online

Four steps from an empty invoice to a print-ready PDF, with the tax handled the way you tell it to.

  1. Add your business

    On the Business tab enter your name, address and tax registration number, and upload your logo. Set the Tax ID Label to whatever applies — GST Reg. No., GSTIN, VAT Reg. No. or ABN.

  2. Add the client and dates

    On the Client tab fill in who you are billing, the invoice number (it auto-increments), the issue and due dates, and the currency.

  3. List what you are charging for

    On the Items tab add a line per item with a description, quantity and rate. The amount and running totals update on every keystroke. Add a discount, shipping or a deposit already paid underneath.

  4. Set your tax, then download

    On the Tax tab type your own rate — or pick a preset — and choose whether it splits into two components. Then click Download PDF, choose “Save as PDF”, A4, margins off.

Tax is never assumed for you. Set the mode to Split for CGST and SGST, or give individual lines different rates when an invoice mixes tax bands.

What is an invoice?

An invoice is the document a seller issues to a buyer requesting payment for goods or services. It records what was supplied, how much is owed, when payment is due and who to pay — and it is the primary evidence behind your revenue in an audit or a tax filing. An invoice is issued before payment; a receipt confirms payment was made after.

What a valid invoice must include

  • The word "Invoice" and a unique, sequential invoice number
  • Issue date, and the payment due date or terms
  • Seller details — legal business name, address, and tax registration number where you are registered
  • Buyer details — name and address, plus their tax ID where the rules require it
  • A description of each item — what was supplied, the quantity and the unit price
  • Tax shown separately — the rate and amount, not just a tax-inclusive total
  • The total payable, and the currency it is payable in
  • How to pay — bank details, PayNow, or whichever method you accept

The generator above produces all of these. Numbering must be unique and sequential in most jurisdictions, which is why the tool suggests the next number rather than leaving it blank.

Invoice, receipt, quotation or proforma?

  • Quotation — an offer, before the work is agreed. Not a demand for payment.
  • Proforma invoice — a draft bill sent for approval or customs. Not a tax invoice, and not booked as revenue.
  • Invoice — the actual demand for payment once goods or services have been supplied.
  • Receipt — proof that the invoice was paid.

GST and VAT invoices

If you are registered for a consumption tax, the invoice usually has to show the tax separately rather than folding it into the total. In Singapore, a GST-registered business issues a tax invoice showing its GST registration number and the GST amount. In India, a GST invoice shows the GSTIN of both parties and splits the tax into CGST and SGST for supplies within a state, or charges IGST across state lines. In the UK and EU, the equivalent is VAT.

This tool handles the formatting for all of those — you set the rate, the label and whether it splits into two components. It does not determine what rate applies to you, register you for tax, or file anything. Rates change and rules differ by what you sell and where your customer is, so check the current requirements with your tax authority or accountant.

Invoice generator vs accounting software

Accounting software tracks payments, chases overdue invoices, reconciles your bank feed and files returns — and charges a monthly fee for it. This tool does one job: turn the figures you already have into a clean, correctly structured invoice PDF. It calculates line totals, discounts and tax from the rate you enter, but it does not decide your tax rate, track payments automatically or submit anything. If your billing is straightforward, that difference is the entire point.
