How to create a payment receipt

Acknowledge a payment properly in four steps — which matters most when the money arrived as cash.

  1. Add your business

    On the Business tab enter your name, address and logo. These are shared with the other tools, so they may already be filled in.

  2. Record who paid and how much

    On the Payment tab enter the receipt number, the date the money arrived, the payer's name, and one line per thing the payment covered. The total and the amount in words update automatically.

  3. Record how it was paid

    On the Details tab choose the payment method — the reference field renames itself to match, so cheques ask for a cheque number and transfers ask for a transaction reference. Link the invoice it settles.

  4. Handle part payments, then download

    If this only clears part of an invoice, tick the part-payment box and enter the invoice total; the receipt then shows the balance outstanding. Click Download PDF to finish.

A receipt is not a tax invoice. If your customer needs to reclaim GST or VAT, send them the tax invoice as well.

What is a payment receipt?

A payment receipt is the document you give someone after they have paid you. It is proof the money changed hands. An invoice asks for payment; a receipt confirms it arrived. The two are often confused, and issuing one when you meant the other causes real problems at year end — an invoice booked as a receipt overstates the cash you actually collected.

What a receipt should include

  • The word "Receipt" and a unique receipt number
  • The date the payment was received — not the date the invoice was raised
  • Who received it — your business name, address and tax ID if you have one
  • Who paid — the payer's name, and address if you need it for their records
  • The amount, in figures and in words, with the currency
  • What it was for — a short description, or the invoice number it settles
  • How it was paid — cash, bank transfer, PayNow, cheque, card — plus a reference or cheque number
  • Any balance still outstanding, if this was a part payment

The generator above produces all of these. The amount in words matters more than people expect: it is the standard defence against a figure being altered after the fact, which is why cheques use it too.

When you should issue one

  • Cash payments — there's no bank record, so the receipt is the only evidence for either side
  • Part payments — so both parties agree on what's left to pay
  • Rent and deposits — tenants routinely need proof of payment
  • When the payer asks — a business customer usually needs one to claim the expense

For bank transfers and card payments the statement is already evidence, but a receipt still helps your customer match the payment to the right invoice.

Receipt, invoice or tax invoice?

  • Invoice — a request for payment, issued before the money arrives.
  • Tax invoice — an invoice from a tax-registered business showing the GST or VAT charged.
  • Receipt — confirmation that payment was received.
  • Credit note — cancels or reduces an invoice already issued. A receipt is not a substitute for one.

A receipt is not a tax invoice, and in most tax systems your customer cannot claim input tax from a receipt alone. If they need to reclaim tax, send them the tax invoice as well.

Keep the record

Most tax authorities require you to keep records of income for several years — five in Singapore, longer in some countries. Receipts saved in this tool live only in your browser, so export the JSON backup or the CSV register regularly and keep it somewhere durable. Clearing your browser data deletes them permanently.
