How to create a payslip online
Pay Docly turns employee and salary details into a clean, print-ready A4 payslip in about three minutes. Everything runs inside your browser — there is no account to create and no payroll data leaves your device.
In short: add your company → add the employee → enter earnings and deductions → click Download PDF. The live preview on the right always shows exactly what will print.

The four steps
-
Add your company details
Open the Company tab and enter your company name, full address, payroll email and phone number. Upload a logo (PNG or JPG, ideally square, under 1 MB) so every payslip carries your branding.
Your company details and logo are remembered in this browser, so you only enter them once.
-
Add the employee
On the Employee tab, fill in the employee name and employee ID — both are required — plus department, designation and bank details. Only the last four digits of the account number are printed, which keeps full account numbers off a document that gets emailed around.
-
Enter earnings and deductions
On the Payroll tab, set the pay period (for example "August 2026"), the pay date, paid days, LOP (loss of pay) days and the currency.
Then add your salary components. Earnings and deductions are free-form rows, so you can use whatever your payroll actually contains — basic salary, fixed transport or meal allowance, overtime, commission and bonus on one side; CPF employee contribution, income tax, insurance or loan recovery on the other. Indian payrolls can just as easily use HRA, conveyance, TDS, provident fund and ESI instead. Gross earnings, total deductions and net pay are calculated as you type, and the net amount is written out in words at the bottom of the slip.
-
Download the payslip as a PDF
Check the preview, then click Download PDF. Your browser's print dialog opens — choose Save as PDF as the destination, set paper size to A4 and set margins to None. The payslip is laid out for a full A4 page, so those two settings give the cleanest result.
To print on paper instead, pick your printer in the same dialog.
Saving employees for next month
Click Save / Update to keep an employee in the Records tab. Next payroll run, select the employee, change the pay period and amounts, and download again — no re-typing.
Records are stored in your browser's local storage. They survive a refresh or a closed tab, but they disappear if you clear your browsing data or switch to another device or browser. Use Export Backup to download a JSON file, and Import Backup to restore it later or move it to another machine.
Generating payslips in bulk from a spreadsheet
For a whole payroll run, use the CSV import instead of typing each employee:
- Click CSV Template to download a sample file.
- Open it in Excel, Google Sheets or LibreOffice and add one row per employee, keeping the column headers exactly as they are.
- Save as CSV, then click Bulk CSV Import and select the file.
- Click All Employees, then Download PDF — every payslip is exported into a single multi-page PDF.
The template columns are basicPay, allowance, bonus, cpfOrPf, incomeTax and otherDeduction. Columns you leave at zero are skipped, so the payslip only shows the lines that apply. After importing, you can open any employee and add extra earning or deduction rows by hand.
Tips for a better-looking payslip
- Use a square logo with a transparent or white background — wide logos get letterboxed in the 64 px logo box.
- Keep the company address to three or four short lines so it doesn't crowd the header.
- Set margins to "None" in the print dialog; browser default margins shrink the layout and can push it onto a second page.
- Choose the currency before entering amounts — it controls the symbol, the number of decimal places, and how the amount in words is written (lakh/crore for South Asian currencies, million/billion elsewhere). Over 25 currencies are available, grouped by region.
- Press Ctrl+S (or ⌘+S) to save the current employee quickly.
